Finally had time to add a little. I always go too far, so whatever you take from it is fine. I know it will help some people and I appreciate the fact that you guys do what you do to help us and keep reminding us of ways to improve what were doing.

Enter a new cash customer account, such as cust# 'FARM'.
Set the new customer to N for NO sales tax method. In addition, you need to set the customer to print invoices only for those that may have receipt printers.

Customer name: FARM USE SALE
Billing address: TAX FORM ON FILE
Billing City: SIGNATURE BELOW

These fields will print on the invoice bill to section nicely, and in order as shown below.

When a new cash customer wants to buy something for farm use, have them fill out a form, then enter the sale under the FARM customer number, then use the procedure above to enter the individual. This procedure is just a faster and easier way to document to all countermen that the customer has filled out the exemption form and can more easily be served in the future buying tax exempt. A note worth mentioning is that the preferred customer feature does allow part ledgering for individually added customers. This is a nice feature and is important to have purchase history available for each added customer.


This looks like it would solve a problem that most jobbers seem to have. For the more techno minded jobbers, the state now offers online editable exemption forms, www.window.state.tx.us/ta...1-3392.pdf , and once all the customer information has been typed in, you simply print it and let the customer sign it and then file it. This makes a nice legible easy to read form, unlike when you hand it to the customer and they do it. It also offers yet another fail safe way to make sure that you are covering yourself in what is being sold tax exempt. Most claimed exemptions do not actually qualify for tax exemption status, but if you have a signed form on file, and it states that automotive parts are being purchased in the descriptions of items to be sold section, then you should be safe to honor the customers claim and request for tax exemption purchases.


Another little handy shortcut for those that may have forgotten, you can enter special function numbers in the customer code section, such as 13 for preferred customers, and then hit the F11 function button and bam, it takes you directly to the preferred customer section. Substitute 13 with any of the numbers used in the Special Functions menu.
